Client's task: 80 guests, 2 days and minimum logistics
A B2B client contacted us with a request for a corporate trip to Da Nang for 80 people. The team flew in from several Asian countries, some of the guests were visiting Vietnam for the first time, so clear logistics, English-speaking coordination and a program without long journeys were priorities. Two days were allotted for everything, and within the program it was necessary to combine the business part, activity on the water and evening networking.
Separately, the client identified two restrictions. Firstly, the event had to take place without closing the city and without complex coordination with local authorities. Secondly, the budget had to be kept within reasonable limits: in Da Nang, prices are 30-40% lower than in Bali with a comparable level of venues and service, so this city was chosen as optimal for a team trip in February-August, ideally in March-May, when there is a dry season and comfortable weather for water and open terraces.

Concept: a working day by the sea and an evening overlooking the lights of Da Nang
We proposed the concept of “Business by the sea”: in the morning - a short but capacious conference at a hotel near My Khe beach, in the afternoon - team activity on the water along Shon Cha, in the evening - dinner and informal communication on the rooftop overlooking the Han River and the Dragon Bridge. This scenario works well in Da Nang: the city is compact, most sites are 15–25 minutes away by transfer, and by sunset you can already move from the business part to the evening part.
To prevent the program from looking like a set of random activities, we tied it to the idea of a route: from concentration and strategy in the gym to movement, speed and team synchronization on the water. The final dinner became not just a banquet, but a gathering point for the entire team after a busy day. We separately took into account the local rhythm - sunset in Da Nang is around 17:45, so the timing was arranged so that by this moment the guests were already on the rooftop.
Location and decor: conference room at My-Khe, catamarans at Son Tra and rooftop in the center
For the conference we chose a hotel on the first line of My Khe beach. This is a convenient location for business events: close to the airport, quick access from the center, good rooms with natural light and the ability to go straight to lunch or transfer to activities. The site was decorated in the client’s corporate color scheme: a neutral base, accents on flags and navigation, a branded welcome table, a presentation screen and a separate area for coffee breaks.
The regatta was held along the Son Tra Peninsula on motor boats and catamarans with an instructor and accompanying crew. To be on the safe side, we checked the forecast, route and sea conditions in advance, and prepared a backup scenario in case the winds picked up. For dinner we chose a rooftop in the central part of Da Nang: on one side there is a panorama of the city and the river, on the other there is a view of the Dragon Bridge, which gives a fire show on weekends. For the evening we used light decor: candles, low compositions, logo illumination and a photo zone without overload.

Timeline of the day: how the corporate event went by the hour
Day 1 was completely working and collected. At 08:30, guests began arriving for registration and received badges, water and a welcome kit. The conference started at 09:00: a short opening, a presentation by management, a block on strategy and 2 thematic sessions. After the morning coffee break, we held an interactive team part to redirect attention and not overload the program.
In the afternoon the group set out for sea activities. The transfer to the landing point took about 20 minutes, after which the regatta along Son Tra began with the team distribution of roles. By 17:00, the guests returned to the hotel to rest and change clothes, and at 18:30 they already gathered for the rooftop dinner. The menu included Vietnamese and European items, separate settings for non-alcoholic cocktails and a final toast overlooking the evening Da Nang. The next day we added a soft finish: late breakfast and a leisurely departure.
It was this pace that turned out to be comfortable for the team: the activity did not “eat up” the work part, and the evening did not turn into a formal banquet. It is also important that all logistics fit into urban travel - without tedious travel to Hoi An or Hue, although both directions are interesting for longer programs.

Project budget
Below is the consolidated budget for a project for 80 people. The calculation included key items that really influenced the final cost: sites, food, equipment, transport, maritime activity and on-site coordination. The final amount depends on the season, hotel level, menu and activity scenario, but for this format we kept the cost in the forecast range.
It was important for the client to see a transparent structure: where the bulk of costs are generated and what can be optimized without loss of quality. For example, in Da Nang it makes more sense to invest in a good location by the sea and strong logistics than in excessive decor. This is especially noticeable during the dry season, when outdoor areas operate reliably and do not require spare tents.
